Job Summary

Provide advanced administrative and clerical support to Director of Athletics, Senior Associate Athletic Director for Compliance & Academic Support, Associate Athletic Director/Senior Woman Administrator, Assistant Athletic Directors and coaching staff in a complex, diverse and fast-paced work environment, which includes scheduling team and individual travel.

 

Major Responsibilities/Duties/Critical Tasks

• Utilizes Peoplesoft to process complex clerical, financial, and personnel records. Each member of the administrative team is responsible for more than 47 cost centers and seven to ten teams, including in-season and post-season team travel arrangements and reimbursements, accounts payable and receivables, account reconciliations, process Procards, travel card expenses and payments, manage departmental procurement processes, which may include contract management, request for proposals, and bidding services or products. 
• Manages hiring and compensation processes, including part-time workers, task workers, student workers, work study, new hire or position documentation, eForms, new full-time staff and coaching recruiting and hiring processes, annual coaching contracts processes, and other personnel processes. 
• Assists or provides various reports as requested, such as aggregate reports for EADA or NCAA FRS.
• Coordinates and submits Annual Inventory reports.
• Coordinates Athletics’ Fleet Vehicle program.
• Manages Patriot Club, Senior Patriot Club, liaison with Development on donor reports and gifts.
• Liaison with the institutional Events Management Department coordinates planning and execution of both internal and external events that support the mission of UT Tyler Intercollegiate Athletics. 
• Other duties as Assigned.

 

Required Education/Experience

• High school diploma or equivalent.  Bachelor's degree preferred.
• Five (5) years of related experience. 
• May accept a combination of education and experience

• Strong customer service and communication skills, both in person and over the phone.

• Ability to interact professionally with students, faculty, and university leadership.

Additional Information

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
