Associate Athletic Director for Business Operations

Position Function:

The Associate AD for Business Operations is responsible for overseeing the daily operations, functions, processes, and personnel of the Athletic Business Office (ABO). The position is specifically entrusted with the preparation and monitoring of the department’s annual budget and serves as the primary point of contact for the annual EADA and NCAA Financial Report.

Essential Duties and Responsibilities:

1. Oversees the annual budgeting process. Prepares planning templates, establishes timelines, compiles relevant historical and benchmark data, and ensures mandatory university deadlines are properly satisfied.
   
2. Monitors and approves all of the financial activity of the department throughout the fiscal year to ensure budget compliance.
   
3. Manages the budget activity codes used by the department and ensures they are aligned with budget tracking and reporting requirements.
   
4. Makes certain the structure and processes of the Athletic Business Office (ABO) are consistent with the industry standard of a Power 5 SEC business office and that workloads are properly balanced and optimized among the ABO staff.
   
5. Acts as the primary point of contact and preparer for the annual EADA and NCAA Financial reports working in close conjunction with third party auditing firm.
   
6. Produces or delegates the production of other miscellaneous reports throughout the year including NCAA championship host and travel reimbursements, as well as other special requests by the Senior Associate AD/CFO or Director of Athletics.
   
7. Serves as a member of the department’s Leadership Council.

8. May have sport administration duties if assigned by the Director of Athletics.
   
9. Works closely with members of the Bulldog Club finance team to ensure necessary transfers of funds are performed according to deadlines.
   
10. Assists the Senior Associate AD/CFO on various aspects of projects and activities including, but not limited to, the multi-year financial outlook, financial strategy planning, capital project financing and tracking, and policy implementation and execution.
    
11. Ensures ABO maintains strong and productive relationships with coaching staffs, department administrators, university personnel, and other key department stakeholders.
    
12. Directly Supervises the Assistant AD/Business Operations and provides secondary supervision to all other members of the ABO staff. Reports directly to the Senior Associate AD/CFO.

Minimum Qualifications:

Bachelor's degree in Business Administration, Accounting, or related field with three (3) years of experience directly related to the duties and responsibilities listed herein.

Knowledge, Skills, and Abilities:

• Ability to supervise and train staff, including organizing, prioritizing, and scheduling work assignments.
• Skill in organizing resources and establishing priorities.
• Ability to foster a cooperative work environment.
• Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
• Knowledge of customer service principles, techniques, systems, and standards.
• Skill in budget management.
• Knowledge of staff hiring procedures.
• Knowledge and understanding of business management principles and practices.
• Skill in the use of personal computers and related software applications.
• Knowledge and understanding of Procurement Card (ProCard/PCard) policies and procedures.
• Skill using BANNER system.
• Knowledge of financial/business analysis techniques.
• Ability to develop and maintain recordkeeping systems and procedures.

Working Conditions and Physical Effort

• No unusual physical requirements.
• Requires limited lifting of files and records and nearly all work is performed in a comfortable indoor facility.
• Frequent external imposed deadlines; set and revised beyond one’s control; interruptions influence priorities; difficult to anticipate nature or volume of work with certainty beyond a few days; meeting of deadlines and coordination of unrelated activities are key to position; involves conflict-resolution or similar interactions involving emotional issues or stress on a regular basis.
• Job frequently requires walking, sitting, reaching, talking, hearing, handling objects with hands.
• Vision requirements: Ability to see information in print and/or electronically.
