The Colorado State University Department of Athletics sponsors 16 men’s and women’s intercollegiate sports and competes as a member of NCAA Division I (FBS). The University is a current member of the Mountain West Conference and future member of the Pac-12 Conference. The University is located in Fort Collins, Colorado, 65 miles north of Denver. The Executive Assistant to the Director of Athletics is a full-time professional position reporting directly to the Director of Athletics. This position provides executive-level administrative support to the Director of Athletics in fulfilling their administrative responsibilities including but not limited to calendar management, meeting and event logistics, meeting support, handling routine office expenditures, and assisting with daily office operations in an efficient, organized, and timely manner. This position will oversee the daily administration for the Director of Athletics, Deputy Athletic Director, and Executive Senior Associate Athletic Directors, and coordinate executive team schedules for meeting and project management. Position will coordinate travel for the Director of Athletics, Deputy Athletic Director, and Executive Senior Associate Athletic Directors for various appearances, events, functions, and media obligations throughout the calendar year. Position requires extensive coordination and collaboration with numerous internal and external constituents including the University’s Office of the President’s team and other university executive assistants.

- Oversees the daily administration for the Director of Athletics and executive leadership team and uses discretion and independent judgment with key and confidential issues while serving in the best interests of CSU and the Department of Athletics
- Proactively manages daily operations and performs administrative support for the Director of Athletics while ensuring a professional and welcoming environment including but not limited to efficient and productive workflows; researching, evaluating, compiling, and disseminating information; scheduling and facilitating presentations, meetings, and workshops; conferring with department and university personnel; and scheduling facilities for executive level meetings and events
- Manages daily communication for Director of Athletics and the department including daily incoming communications through various mediums to identify issues, prioritize items, and assist with successful follow-up or resolution(s)
- Manages daily itinerary of the Director of Athletics to incorporate background information, meeting details, travel details, purpose of meeting, and resulting action items
- Manages requests for Director of Athletics’ calendar including but not limited to internal requests and events, external engagement opportunities, and proactive coordination with internal and external constituents including various university offices, NCAA, conference, donors, sponsors, and local entities
- Provides support for the department’s Executive Leadership Team, including agenda development, assists with scheduling and communication, and preparation and follow-up assignments related to action items
- Adjusts quickly and appropriately to rapidly changing situations in a high stress and highly visible environment
- Coordinates travel for the Director of Athletics, Deputy Athletic Director, and Executive Senior Associate Athletic Directors for various appearances, events, functions, and media obligations throughout the calendar year
- Coordinates travel for guests of the department including job candidate travel for the Director of Athletics, Deputy Athletic Director, and Executive Senior Associate Athletic Directors; and collaborates with university offices to prepare and disseminate guest itineraries and other materials as deemed necessary
- Processes budgetary items through Kuali Financial including travel authorizations and travel reimbursements; and submits expense reports to the Business Office. Collaborates with the Business Office on necessary purchase orders to meet needs of the department
- Serves on department committees as needed or as liaison for the Director of Athletics
- Maintains a comprehensive understanding of the department’s goals, priorities, and supports the unit’s programs and events
- Ensures compliance with all departmental, University, conference, and NCAA procedures, rules and regulations

- Collaborates with Assistant Athletic Director for Engagement and provides on-going support for a broad range of projects, events, and activities that are of high priority and strategic importance to the Director of Athletics and the department
- Independently researches, evaluates, analyzes, and compiles information related to projects and events as needed
- Identifies project barriers and researches opportunities to overcome obstacles that may impact project completion
- Develops timelines, deadlines, and assists with developing budgets for large scale projects as directed by the Director of Athletics or assigned designee
- Facilitates select special events, including but not limited to student-athlete fall welcome back event, graduation receptions, all-staff meetings, and department events
- Independently executes special projects as assigned by the Director of Athletics, Deputy Athletic Director, and Executive Senior Associate Athletic Directors

- Oversees the logistics for the Athletic Director suite and Visiting Athletic Director suite for Football gamedays including food, beverage, and gifts
- Employee is present on Football game days to welcome guests and donors to Athletic Director suite and other donor-related areas
- Collaborates with Development Office, Stadium Events, Athletics Facilities, and Ticket Office for visiting guests and high-level donors attending ticketed sporting events
- Collaborates with University President’s Office, University Alumni, Stadium Events and Athletics Development Office regarding gameday activities and timeline
- Prepares gameday materials and timelines for Director of Athletics, Deputy Athletic Director, and Executive Senior Associate Athletic Directors; and assists Director of Athletics with on-site gameday logistics
