POSITION PURPOSE: Within Student Affairs, the Department of Athletics serves the entire campus community and its alumni. It is responsible for creating an institutional culture that is supportive of students. The department provides leadership in the development of services and programs that enrich student life, extend, and enhance the academic experience, and contribute to an environment that encourages personal growth and development.

Under the direct supervision of the Associate Athletics Director for Academic Services, and under the lead direction of more experienced Student Services Professionals, the Assistant Athletics Academic Advisor performs entry-level academic support work to assist student-athletes in progressing toward academic eligibility and graduation. This role supports the implementation of established academic success plans and assists in routine academic tasks in accordance with NCAA, conference, and institutional regulations. Work is performed with close supervision and follows clearly defined procedures to contribute to student retention and achievement goals.

DUTIES & RESPONSIBILITIES:

Academic Progress Support

1. Under the lead direction of experience Academic Advisors, assist with monitoring academic progress of assigned student-athletes using established checklists and reporting formats to support compliance with institutional, conference, and NCAA eligibility requirements.
2. Meet with students regularly to gather academic updates and provide referrals to campus resources, as directed.
3. Support the implementation of academic support plans as developed by experienced advisors.
   
4. Assist with competition travel letters and follow up with students-athletes.
5. Facilitate basic communications with faculty, contacting the Faculty Athletics Representative (FAR) when necessary and referring complex issues to senior staff.
6. Under the direct guidance of experienced Academic Advisors, provide coaches and appropriate advisors weekly memos, updates, and reports as requested.
7. Participate in weekly staff check-ins to share updates on student progress and concerns.
8. Support academic success initiatives based on outcomes identified by experienced staff at term’s end.

Transfer Evaluation, Course Selection, & Registration Support

1. Under the direct supervision of the Assistant Athletic Director for Academics and under the lead direction of experienced Academic Advisors, assist with basic academic planning tasks such as verifying course selections and identifying potential registration holds.
2. Maintain organized advising documentation and assist in tracking student-athlete progress.
3. Run pre-set reports from student systems (PeopleSoft, Degree Progress tools) and share data with experienced staff.
4. Support general advising operations during high-volume periods (e.g., registration) with clerical or pre-defined tasks.
5. Contact major academic professional and/or faculty advisor to request academic plans and advising information pertaining to the student-athlete, to be organized and communicated to experienced advisors.

Continuing Eligibility Certification Process Support

1. Assist in compiling term-by-term academic records to support the eligibility certification process.
2. Update Progress Towards Degree charts per term and upload them to BOX for experienced academic advisors to review, supporting collaboration with Registrar’s Office and certification.

REQUIRED QUALIFICATIONS:

EDUCATION & EXPERIENCE – Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field. Specialized experience during which the applicant has acquired and successfully applied the appropriate knowledge and abilities may be substituted for the required education on a year-for-year basis.

SKILLS, KNOWLEDGE & ABILITIES (SKA’s) –

• Regular and reliable attendance is required.
• Working knowledge of the basic principles of individual and group behavior.
• Knowledge of research and observation techniques for the purpose of recording, classifying, and interpreting information.
• Knowledge of the techniques and methods of interviewing.
• Ability to gather and analyze data; reason logically, draw valid conclusions and make appropriate recommendations.
• Ability to participate in and contribute to group meetings, conferences, and interviews.
• Ability to clearly express ideas and recommendations orally and write clear and concise reports.
• Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
• Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
• Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
• Excellent communication skills; ability to effectively communicate information in a clear and understandable manner.
• Thorough knowledge of English grammar, spelling, and punctuation.
• Ability to interpret, communicate and apply policies and procedures.
• Ability to maintain a high degree of confidentiality.
• Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
• Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
• Working knowledge of or ability to quickly learn University infrastructure.
• Must be willing to travel and attend training programs off-site for occasional professional development.
• Must be able to work overtime, occasional holidays, nights, and weekends, and adjust working hours to meet special jobs (see below for expectations regarding availability). May be called back periodically to perform work as needed on an emergency basis.

PREFERRED QUALIFICATIONS:

• Knowledge of NCAA Division I academic compliance regulations for entering and continuing student-athletes.
• Experience working with Division I student-athletes.
• Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

PHYSICAL DEMANDS: SEDENTARY WORK – involves mainly sitting; minimal walking and standing; lifting light weight objects limited to 15 pounds.
